Secretary
The Secretary does many tasks, including:
Meetings & Minutes
- Collecting reports and agenda items ahead of Executive meetings.
- Ensuring accurate minutes are taken at all Executive meetings, including attendees and apologies, key points discussed, and agreed actions with named officers.
- Circulating draft minutes to the Executive for comment, before uploading the final version to the website.
- Setting common minute-taking standards across the wider Young Liberals organisation.
- Collecting minutes from committees, ensuring copies are provided to the Chair and Secretary and uploaded online.
Supporting Officers
- Working alongside the Chair to support Executive members who repeatedly miss report deadlines or Executive meetings, including meeting with them to understand the cause and what support may be needed.
- Working with the Chair to support Committees and their Chairs, including helping to schedule meetings, track attendance and ensure minutes are uploaded.
- Working with Committee Secretaries to make sure they understand how to take clear and effective minutes.
Constitutional Documents
- Keeping the Young Liberals constitution and other governing documents up to date whenever amendments are made.
WhatsApp / Forum
- Administering and moderating the Young Liberals Forum Facebook group and WhatsApp Community.
Conference
- Selecting people to take minutes at Young Liberals Conference. These minutes should record votes, speakers and the outcomes of debates.
The Secretary has an important role in making sure there is a clear record of decisions made across the organisation. While you are responsible for ensuring minutes are taken and published, you do not necessarily need to personally minute every meeting or committee.
Time Commitment
Regular attendance at Executive meetings is expected, alongside ongoing administrative work between meetings. The amount of time required will depend partly on whether you attend committee meetings yourself.
On average, the role is around 15–20 hours per month.
